We are excited to be looking for a Team Assistant to provide the Field Delivery Management Team with professional, statistical and overall support to maintain the efficient and effective performance of the team. 

The Team Assistant will be providing the Operations team with detailed operating information/analysis/recommendations (performance/financial) to improve overall group performance. 

Key Accountabilities

  • To support managers in gathering and sharing essential reports on critical metrics.
  • To create regular reports/presentations (including commentary) for the group.
  • Co-ordinate team movements and team meetings. Ability to attend meetings/events as required.
  • To treat all information as confidential and align with the requirements of the Data Protection Act.
  • To be able to fully support and provide administrative assistance to the field managers, manage office systems, process and co-ordination of the reporting metrics for the team.
  • To act as an interface between all Operating Managers to ensure deliverance of all necessary reports to meet set time scales as determined by the Head of Department or managers.
  • Assist in provision of confidential documents and maintain relevant records (to treat all information as confidential and in line with Data Protection Act).
  • Organise and schedule diary and travel arrangements on behalf of the Team.
  • Provide all general admin support for Head of Department, e.g. monitoring mailbox/responding to emails etc.
  • Prioritise workload to meet strict timescales, which will require flexibility.
  • Co-ordinating recruitment to include RAFs, PCFs, Interviews, correspondence with applicants.
  • Maintaining all headcount numbers and organisation charts.

The must haves

In order to be considered, you must have the following experience;

  • Minimum 2 years in administration role.
  • Experienced in an operational environment and accustomed to support multiple managers.
  • Experienced in the use of Microsoft packages 
  • Excellent communication skills both written and verbal.
  • Excellent interpersonal skills.
  • Prioritisation skills in response to customer needs and team requests.
  • Problem solving, often under pressure.
  • High level of integrity and reliability.
  • Outstanding analytical skills and highly numerate.
  • Ad hoc travel.
The other stuff we are looking for

We'd also love you to bring;

  • Knowledge of customer management systems.
  • The ability to establish effective internal and external relationships gaining others trust and confidence.
  • Experience of cross departmental interface and team integration.
  • Oracle administration knowledge is desirable.
